TERRA-312 · ERP & procurement

Track purchase orders and supplier commitments.

Create purchase orders from supplier quotations. Track promised shipping dates, delays, follow-up emails and claims for incorrect or damaged goods.

Available capability

The client has paid, so the order goes to the supplier: the lines, the quantities and a ship-by date for each, worked out from the lead time they quoted. From then on the purchase order shows where things stand, based on what has actually happened: sent, proforma received, paid, confirmed, shipped, received.

Overdue line items are flagged, with scheduled dates and follow-up email templates available from the purchase order. Your team reviews and sends supplier follow-ups.

Included capabilities

Create from a supplier quotation

Place the order from a supplier request: why you're buying (the client paid, the client confirmed, or it's for stock), which lines, how many and by when.

Numbered from the order

ORD-2026-0022 becomes PO-2026-0022-1, and PO-2026-0022-2 for a second supplier; stock orders have a numbering sequence of their own.

Stages updated from activity

Draft, sent, proforma, paid, confirmed, shipped, received and closed, worked out from what actually happened, not set by hand.

Shipping dates and change history

A promised date per line and every time it slipped, a countdown in days, overdue lines flagged, and a journal of what's open, late, due to ship or due to pay.

Supplier follow-up templates

The order itself, a request for ship dates, a reminder about a delay and a request for shipping documents, each from a template you can edit.

Shipments and documents

What shipped under which air waybill or bill of lading, what was cancelled, and a checklist of the papers that should come with it.

Claims to suppliers

Short, damaged or wrong goods open a claim that ends as replaced, credited, refunded, repaired or rejected, and the outcome posts the money or the stock movement automatically.

Supplier delivery performance

How often each supplier shipped when they said they would.

Supplier bills

A bill raised from the purchase order or from the attachment on the supplier's email, with reverse-charge VAT on imports.
