Prepare, review and track customer quotations.

Create quotations and invoices in PDF and Excel on your letterhead. Include lead times, weights, split deliveries and alternatives, with a record of sent documents.

Available capability

Included capabilities

PDF and Excel

Both formats from one document, on your letterhead.

Numbered from the order

ORD-2026-0003 becomes QUO-2026-0003-1, and invoices follow the same rule.

Sent and tracked

Draft, sent, accepted or cancelled, with a record of every time it was sent.

Terms and entities

Delivery, payment, warranty and signature terms; mainland or free-zone entity; bank details on the page.

Lead times and weights

Lead time in days, "in stock" where it is, and weight per line and in total.

Split deliveries and alternatives

A line delivered in lots, or an either-or alternative, printed as such.

Part numbers kept on one line

Long part numbers stay on one line in the PDF, never split across two.

Customer price consistency

A part priced differently from what the same client was quoted in the last twelve months is flagged on the order, with the earlier price, quotation and date: restore the old price or approve the new one. You're asked when the quotation is raised, and it doesn't go out until every line is settled.

Below-cost price review

A line priced at cost or below is flagged in red with the loss per piece: go back to the order's mark-up, or sell at that price deliberately, with a name against the decision. You're asked when the quotation is raised and again before it goes out.

Proforma invoice

The accepted quotation reissued as a proforma to pay against: marked as not a tax invoice, valid for two weeks, with the bank details and the number to quote on the payment. The tax invoice follows from the same order.

Quotation follow-ups

Schedule up to three follow-up emails in the quotation thread, with editable timing and wording. Combine stock availability with an offer to reserve items where appropriate. Follow-ups stop when the customer replies; unanswered quotations close as lost two weeks after the last contact.

Follow-up wording and frequency controls

Vary follow-up wording and limit messages to one per company within five days. Combine quotations due for follow-up into one email, keep a 90-day history and flag repetitive drafts for manual review.

VAT on top or included

Set VAT to 5% or 0% according to the entity and customer location, with manual overrides. Choose tax-inclusive or tax-exclusive prices. Margins, quotations, invoices and accounting records use the same tax treatment.

The guided demo illustrates a selected workflow. Availability depends on the enabled configuration; beta items are labelled above.
